In a letter, it is the addressee; in an email, it usually appears in the “To” field; and in email marketing, it is the contact who receives a campaign because they belong to a selected audience.

The definition seems simple, but behind it lies a decision that shapes every communication: who should receive the message and why. Choosing the right recipient influences the tone, the content, the timing of the send and the channel. It also determines whether a campaign proves useful or ends up ignored, bounced or marked as spam.

What recipient means

The word recipient refers to whoever receives something sent by another party. It can be an individual, a company, an institution, a department or even a computer system. Its closest synonym is “receiver”, although the two terms carry a different nuance: a receiver is whoever receives something, while a recipient is whoever has been designated as its destination.

This difference helps explain a common situation. If a company sends an invoice to the wrong address, the person who opens the mail may become an accidental receiver, but not its legitimate recipient. The intention behind the shipment is therefore part of the concept.

In the basic communication model, the sender creates and sends the message; the channel carries it; and the recipient receives it, interprets it and decides what to do. Communication only achieves its goal when the content reaches the right person and they can understand it in context.

What a recipient is depending on the type of shipment

The required details and expectations change with the channel. The core meaning stays the same, but a postal recipient, a bank recipient and an email recipient require different identifiers and security measures.

Recipient of a letter or parcel

In a postal shipment, the recipient is the person or entity to whom the letter or parcel is delivered. Their details usually include full name, street, number, floor or apartment, postcode, town or city and country. Some services also ask for a phone number to resolve delivery issues.

The recipient’s details are placed visibly on the front of the envelope or parcel. The sender, on the other hand, usually appears on the back or in the top left-hand corner. An incomplete address can delay the shipment or cause it to be returned.

Recipient of an email

In an email, the recipient is identified by a unique address, such as “name@company.com”. The “To” field shows who the message is primarily addressed to. “CC” adds people who should be kept informed and leaves their addresses visible to everyone else, while “BCC” sends a copy without revealing those details to the others.

Blind copy can be useful for a one-off message, but it is no substitute for an email marketing platform. A commercial send needs to manage permissions, unsubscribes, bounces, segmentation and statistics. In addition, showing third-party addresses in “To” or “CC” can expose personal data and damage the trust of all the recipients.

These are the three fields where you can add recipients:

Field

Who it is for

Can others see the address?

To

The main recipient, the person the message is addressed to

Yes

CC (carbon copy)

People you want to keep informed

Yes

BCC (blind carbon copy)

People who receive a copy without the others knowing

No

You’ll find more details in our entry on CC and BCC.

Recipient of a transfer or administrative document

In a bank transaction, the person receiving the funds is also usually called the beneficiary. To identify them, you may be asked for their name, IBAN or other account details. In administrative or legal documents, the recipient is the person or organization to whom a notification is addressed, and identifying them correctly can have consequences for deadlines, validity or proof of delivery.

That is why it is best to interpret the term in its context. An email address is enough to route a message, but on its own it does not identify the person as reliably as an official document.

Difference between sender and recipient

The sender is whoever originates and sends the communication; the recipient is whoever has been chosen to receive it. If you send a business proposal, your company acts as the sender and the potential customer as the recipient. When that person replies, the roles are reversed.

This table sums up the differences:

Sender

Recipient

What it is

Whoever sends

Whoever receives

In a letter

On the back of the envelope or in the top left corner

In the center or bottom right of the envelope

In a parcel

The details of whoever sends it, such as the store

The name, address and phone number of whoever receives it

In an email

The “From” field

The “To”, “CC” and “BCC” fields

Example

The online store that sends the order confirmation

The customer who made the purchase

In a letter, the recipient’s details appear in the center or bottom right of the front, and the sender’s on the back or in the top left. In email, the sender appears in “From” and the recipient in “To”. The distinction also affects responsibilities: the former must identify the origin and prepare the shipment; the latter needs a clear way to receive it, interpret it and, where appropriate, reply.

Within email marketing, there is another role worth distinguishing. A subscriber is a person who has joined a list and agreed to receive certain communications. They become the recipient of a specific campaign when they meet the selection criteria defined for that send. So a list may contain 10,000 subscribers while a newsletter reaches only 2,400 contacts because it targets a specific segment.

What a recipient is in email marketing

In email marketing, a recipient is a contact selected to receive a campaign, automation or transactional message at a specific address. This definition includes a technical dimension (the mailbox the email is being delivered to) and a strategic one: the person behind it, with their own needs, permissions and history.

Thinking only in terms of addresses leads to generic campaigns. Thinking in terms of recipients lets you ask yourself what relationship they have with your brand, what content they expect, what language they communicate in, what they have bought and when they last engaged. That data gives meaning to segmentation and personalization.

You also need to distinguish between selected, delivered and active contacts. The first are included in the send’s audience. The second receive the message on their server without a permanent bounce. And the third open, click, reply or complete the expected action. The figures rarely match, and that gap holds useful information for improvement.

Make every email reach the right recipient

With Mailrelay, you segment your list by groups and custom fields, and send up to 80,000 emails a month for free to 20,000 contacts.

Create a free account

How to choose and manage campaign recipients

A large contact database may impress in a meeting, but its size says little about its ability to deliver results. Management starts before the send and continues after you analyze it. This workflow helps you turn a collection of addresses into a usable audience:

Define the goal and the audience. Decide what action you are after and who might find value in the message. A promotion for past buyers requires different recipients than a welcome email for new sign-ups.

Check permission and source. Keep the date, the form, the purpose agreed to and any data that shows how the contact was obtained. Double opt-in adds a confirmation from the given mailbox and reduces fake or mistyped addresses.

Organize useful data. Name, language, time zone, interests, buying stage and past activity can become custom fields. Collect only information you are going to use and keep it up to date.

Segment for an editorial reason. Each condition should change something in the message: the product shown, the subject line, the offer, the timing or the call to action. If the content will be identical, that split may not add anything.

Personalize and test. Check for empty values, prepare fallback text and run A/B tests on a relevant variable. Mentioning the name adds little if the rest of the email does not match the recipient’s interests.

Send, measure and clean up. Watch deliveries, bounces, clicks, unsubscribes and conversions. List hygiene should be ongoing, to remove invalid addresses and handle inactive contacts with care.

With Mailrelay, you can manage this whole process from an intuitive dashboard: import and segment contacts, use custom fields, create automations, run A/B tests and view real-time reports with click maps. Our free account lets you send up to 80,000 emails a month to up to 20,000 contacts, without adding Mailrelay ads to your emails.

Segmentation and personalization: how to tailor the message to the recipient

Segmentation decides who receives a campaign. Personalization changes what each contact sees. They work best together, because precise selection avoids forcing the same pitch on people who are at different stages.

Imagine a sporting goods store. It can single out people who bought running shoes, live in different areas and have clicked in the last 60 days. It then adapts the product block, the nearest store and the name. The person receives a message consistent with their history, not an arbitrary combination of variables.

Declared data (preferences chosen in a form) usually explains intent better than a single open. Behavioral data adds context: clicks, purchases, downloads or identified visits. It is a good idea to set an expiry date for those signals. Someone who looked at a product two years ago may no longer have the same interest.

In Mailrelay, you can show conditional content and custom fields, and trigger workflows for welcome emails, drip campaigns or abandoned carts. The REST API, the WordPress plugin and the integrations let you keep contact data in sync with other systems. If you have a setup question, our support team will help you by phone, chat or ticket, on free accounts too.

Consent, privacy and recipient expectations

A publicly available address is not automatically an invitation to receive promotions. Before adding a contact, identify the legal basis for processing their data and the regulations that apply to your business. State who is sending, what the data will be used for and how the person can withdraw their consent or exercise their rights.

Permission also has a scope. If someone signs up to receive a monthly report, simply adding them to daily promotions breaks the expectation that led them to sign up. That mismatch usually translates into unsubscribes, complaints and lower engagement, even when there is a box that was ticked some time ago.

Provide a visible, working unsubscribe mechanism. Process requests quickly and keep a suppression list to avoid accidental re-imports. If you substantially change the frequency or purpose, explain the change before acting on it. For specific cases, seek legal advice tailored to the country and the type of communication.

Deliverability: when a recipient actually receives the email

Clicking “Send” marks the start, not the arrival in the inbox. The message passes through servers that check the address, the domain authentication, the sender reputation, the content and the recipients’ past signals. It may be delivered to the primary inbox, filed as a promotion, go to spam, be temporarily deferred or bounce.

A hard bounce usually indicates that the mailbox does not exist or permanently cannot receive mail. You should remove that address from future sends. A soft bounce is due to a temporary situation, such as a full mailbox or a server issue, and can be handled differently. Repeatedly sending to invalid addresses damages your reputation and makes it harder to reach even interested contacts.

Deliverability in email marketing improves when you collect contacts with permission, authenticate your domain, keep your list clean and send expected content. On our platform, we use our own infrastructure and technology designed for reliable delivery, although the quality of the recipients and the sender’s practices still influence the outcome.

Metrics to tell whether you have chosen the right recipients

The delivery rate shows what proportion did not bounce, but being delivered does not mean being interested. Clicks show clearer intent than opens, whose measurement can be skewed by privacy protections and image preloading. Conversions connect the campaign to the business goal, while unsubscribes and complaints warn of a possible lack of relevance, permission or appropriate frequency.

Analyze the data by segment, campaign and period. An overall average can hide the fact that new contacts respond well while older ones have been disengaged for months. Click maps help you discover which areas attract attention; A/B tests compare variants; and ROI tracking lets you decide whether your audience selection generates financial value.

Here is a quick check before scheduling the send:

The recipient fits the goal, has a documented source and expects this kind of content; their data is up to date, variables have a fallback value, and unsubscribes and permanent bounces are excluded.

The message identifies the sender, works on mobile, has a clear call to action and offers an easy unsubscribe; you have also tested links, segmentation, subject line, display name and reply-to address.

Common mistakes when managing recipients

Buying a database is one of the costliest mistakes. Those people have not asked for your communications, you do not know the status of the addresses, and you may run into spam traps, complaints or legal problems. The apparent volume soon turns into worse deliverability.

Another mistake is always sending to the whole list. A recipient who has just signed up, another who has already bought and one who has been inactive for a year need different cadences and messages. Overexposure wears down the relationship; too low a frequency can make the person forget why they subscribed.

Personalization errors also crop up: greetings with empty fields, the wrong language, offers that clash with a recent purchase or automations that keep running after a conversion. Before activating a workflow, walk through its entries, conditions and exits as if you were each profile in the audience.

Finally, avoid using “BCC” as your usual solution for bulk sends. It lacks individual unsubscribe management, limits measurement and increases the likelihood of manual errors. A specialized tool gives you control over each recipient without revealing their address to third parties.

How to put the recipient at the center of your strategy

Start each campaign with a specific sentence: “This message will help this group to…”. If you cannot complete it without resorting to generalities, the audience or the proposition still needs defining. That simple test organizes the content before you open the editor.

Then let behavior update the relationship. A click can add the contact to a relevant sequence; a purchase should remove them from unnecessary reminders; several months of inactivity can trigger a re-engagement campaign. Automations save work when they reflect understandable decisions and have clear limits.

At Mailrelay, we offer segmentation, simple automation, conditional content, A/B testing and real-time reports so you can work with small or large audiences. You can start with the free account and rely on our multilingual team during setup. In communication, “receiver” is also used, although the latter can include someone who receives something by mistake.

What is the difference between recipient and sender?

The sender originates and sends the communication; the recipient has been designated to receive it. In an email, they appear in the “From” and “To” fields, respectively. When the recipient replies, the two swap roles.

Where does the recipient go on a letter?

Their details are written on the front of the envelope, usually in the center or toward the bottom right. They should include enough postal information to locate them. The sender’s details go on the back or in the top left corner of the front.

What details does an email recipient have?

A valid address is all you need to deliver the message. In an address book or email marketing platform, you can associate name, company, language, preferences and other fields that help with segmentation. Collect only the data you need and keep it up to date.

Are To, CC and BCC different types of recipients?

Yes, depending on their role in the message. “To” indicates the main recipient; “CC” includes informed recipients whose addresses are visible; and “BCC” hides those addresses from the others. For commercial campaigns, it is best to use a dedicated platform instead of sending blind copies.

Is a subscriber always a recipient?

No. A subscriber belongs to a list, while a recipient is included in a specific send. They may not receive a campaign because of their segment, their preferences, an unsubscribe, a suppression or a previous delivery issue.

Can you send campaigns to any recipient?

You shouldn’t add addresses just because you found or bought them. You need a legitimate basis for sending, transparency about how data is used and compliance with the applicable regulations. In addition, your communications should match the expectations set when the contact was collected.

How do I know if a recipient has received the email?

The “delivered” status indicates that the receiving server accepted the message, but it doesn’t guarantee that it landed in the primary inbox or that the person has seen it. Combine delivery, bounce, click, reply and conversion data to evaluate the result.

What should I do with inactive recipients?

Define an inactivity period based on your sending frequency, ease off and try a re-engagement or preference update campaign. If the person still doesn’t respond, stopping sending usually protects your list quality and sender reputation.

Why is it important to segment recipients?

Because it lets you tailor the offer, the pitch and the timing to groups with shared characteristics. A more relevant message can improve clicks and conversions, as well as reduce unsubscribes and complaints compared with indiscriminate sends.

Related entries

Category killer

CC and BCC

CDN (Content Delivery Network)

CDP

Chatbot

Churn Rate

PDCA cycle

Closing the sale

["post-80884","glossary","type-glossary","status-publish","hentry
<!-- This site is optimized with the Yoast SEO plugin v28.6 -
