Gmail, Outlook.com and Proton Mail are examples of email services; applications such as Outlook or Thunderbird can also work as clients for checking several accounts.<\/p>\n<p class=\"wp-block-paragraph\">The key difference is simple: <strong>regular email is designed for one-to-one conversations or small groups<\/strong>, while an email marketing platform is built to manage subscribers, automate campaigns, send large volumes and measure results.<\/p>\n<h2 class=\"wp-block-heading\">What is an email service?<\/h2>\n<p class=\"wp-block-paragraph\">An email service provides the infrastructure needed to exchange digital messages between a sender\u2019s <a href=\"https:\/\/mailrelay.com\/en\/glossary\/email-address\/\">email address<\/a> and one or more recipient addresses.<\/p>\n<p class=\"wp-block-paragraph\">A message can include text, images, links and attachments. The provider receives it, carries it across the internet, stores it in the right mailbox and makes it available to the recipient.<\/p>\n<p class=\"wp-block-paragraph\">In most cases, users don\u2019t need to run their own servers. They can access their account through a website, a mobile app or a desktop program. It is used to send messages from a client to the outgoing server and to transfer email between servers. It isn\u2019t designed to organize your inbox or sync folders.<\/p>\n<p class=\"wp-block-paragraph\">It is the standard for email transport on the internet, defined in <a href=\"https:\/\/www.rfc-editor.org\/info\/rfc5321\/\">RFC 5321<\/a>.<\/p>\n<h3 class=\"wp-block-heading\">IMAP: syncing across devices<\/h3>\n<p class=\"wp-block-paragraph\"><strong><a href=\"https:\/\/mailrelay.com\/en\/glossary\/imap\/\">IMAP<\/a><\/strong> lets you view and manage messages that stay on the server. Anything you do on one device (read, move, archive or delete) is reflected on every other device connected to the same account.<\/p>\n<p class=\"wp-block-paragraph\">It is usually the most practical option if you check your email on your phone, in a browser and on your computer. The modern version of the protocol is described in <a href=\"https:\/\/www.rfc-editor.org\/info\/rfc9051\/\">RFC 9051<\/a>.<\/p>\n<h3 class=\"wp-block-heading\">POP3: downloading the mailbox<\/h3>\n<p class=\"wp-block-paragraph\"><strong><a href=\"https:\/\/mailrelay.com\/en\/glossary\/pop3\/\">POP3<\/a><\/strong> was designed to retrieve messages stored on a server. Traditionally, messages were downloaded to the computer and the remote copy was deleted, but today\u2019s clients can be set to keep it on the server.<\/p>\n<p class=\"wp-block-paragraph\">It offers fewer syncing and remote management options than IMAP. It can still be useful if you want to keep a local archive or work with limited resources. Its basic specification is in <a href=\"https:\/\/www.rfc-editor.org\/info\/rfc1939\/\">RFC 1939<\/a>.<\/p>\n<h3 class=\"wp-block-heading\">Webmail: access from your browser<\/h3>\n<p class=\"wp-block-paragraph\"><strong>Webmail<\/strong> isn\u2019t a protocol but a web interface. It lets you sign in and check your mailbox without installing any software. Gmail, Outlook.com and Yahoo Mail all offer webmail, although behind the scenes they use protocols and server systems to send, receive and store messages.<\/p>\n<h2 class=\"wp-block-heading\">Types of email services<\/h2>\n<p class=\"wp-block-paragraph\">Email services can be classified by their purpose:<\/p>\n<h3 class=\"wp-block-heading\">1. Free personal email<\/h3>\n<p class=\"wp-block-paragraph\">Designed for personal communication, it usually includes webmail, mobile apps, spam filters and some free storage. It normally uses the provider\u2019s domain, such as \u2018@gmail.com\u2019 or \u2018@outlook.com\u2019.<\/p>\n<h3 class=\"wp-block-heading\">2. Business email with your own domain<\/h3>\n<p class=\"wp-block-paragraph\">It lets you use addresses such as \u2018sales&#64;company.com\u2019. It strengthens your brand identity and usually includes centralized administration, aliases, calendars, security controls and support.<\/p>\n<h3 class=\"wp-block-heading\">3. Self-managed corporate email<\/h3>\n<p class=\"wp-block-paragraph\">The organization runs its own servers or dedicated infrastructure. It gives technical control, but requires expertise, maintenance, backups, monitoring and ongoing security and deliverability work.<\/p>\n<h3 class=\"wp-block-heading\">4. Transactional email service<\/h3>\n<p class=\"wp-block-paragraph\">It sends automatic messages triggered by an action or event: order confirmations, password resets, shipping updates or account notifications. These messages are usually integrated with a website or app via SMTP or API. Email marketing or bulk email platform<\/h3>\n<p class=\"wp-block-paragraph\">It is designed to send newsletters, promotions and communications to a list of subscribers. It includes contact management, segmentation, unsubscribes, templates, automation, testing and analytics. It doesn\u2019t replace your everyday mailbox: it solves a different need.<\/p>\n<h2 class=\"wp-block-heading\">Benefits of email services<\/h2>\n<p class=\"wp-block-paragraph\">Email is still a basic tool for people and businesses for several reasons:<\/p>\n<ul class=\"wp-block-list\">\n<li><strong>Speed:<\/strong> messages can be exchanged in seconds between different locations.<\/li>\n<li><strong>Multi-device access:<\/strong> the mailbox can be checked from a browser, phone or computer.<\/li>\n<li><strong>Asynchronous communication:<\/strong> people don\u2019t need to be available at the same time.<\/li>\n<li><strong>Traceability:<\/strong> it keeps conversations, dates, recipients and attached files.<\/li>\n<li><strong>Organization:<\/strong> folders, labels, search, rules and filters make it easier to manage.<\/li>\n<li><strong>Scalability:<\/strong> business services let you add accounts and storage as your organization grows.<\/li>\n<li><strong>Integration:<\/strong> it can connect with calendars, CRM, ecommerce, support and other tools.<\/li>\n<li><strong>Less infrastructure:<\/strong> a hosted service means the company doesn\u2019t have to run the whole email system itself.<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Features worth comparing<\/h2>\n<p class=\"wp-block-paragraph\">There\u2019s no perfect service for everyone. Before choosing, check these points:<\/p>\n<ul class=\"wp-block-list\">\n<li><strong>Custom domain:<\/strong> check whether you can use your company\u2019s identity.<\/li>\n<li><strong>Storage:<\/strong> consider mailbox size, attachments and archiving policies.<\/li>\n<li><strong>Compatibility:<\/strong> make sure it offers webmail, apps, IMAP, SMTP and the integrations you need.<\/li>\n<li><strong>Security:<\/strong> look for encryption in transit, multi-factor authentication, anti-phishing filters and admin controls.<\/li>\n<li><strong>Privacy and data location:<\/strong> review the terms, how data is handled and the compliance options that apply to your organization.<\/li>\n<li><strong>Availability and backups:<\/strong> check the service level agreement and recovery options.<\/li>\n<li><strong>Administration:<\/strong> with several users, centralized management, aliases, groups and audit logs are useful.<\/li>\n<li><strong>Support and total cost:<\/strong> include licenses, migration, extra storage and admin time.<\/li>\n<li><strong>Sending limits:<\/strong> a regular mailbox has limits and policies against bulk use. It also means essential notifications don\u2019t depend on how your promotional campaigns perform.<\/p>\n<h2 class=\"wp-block-heading\">Security and deliverability: the basics<\/h2>\n<p class=\"wp-block-paragraph\">An email provider has to protect your account, but the domain owner has responsibilities too.<\/p>\n<h3 class=\"wp-block-heading\">Access security<\/h3>\n<ul class=\"wp-block-list\">\n<li>Turn on <strong>multi-factor authentication<\/strong>.<\/li>\n<li>Use unique passwords or, where available, phishing-resistant methods.<\/li>\n<li>Review sessions, devices and suspicious forwarding rules.<\/li>\n<li>Keep your browser, operating system and email apps up to date.<\/li>\n<li>Be wary of urgent requests for credentials, payments or bank account changes.<\/li>\n<\/ul>\n<h3 class=\"wp-block-heading\">Domain authentication<\/h3>\n<p class=\"wp-block-paragraph\">To send from your own domain, there are three main mechanisms:<\/p>\n<ul class=\"wp-block-list\">\n<li><strong><a href=\"https:\/\/mailrelay.com\/en\/glossary\/spf-sender-policy-framework\/\">SPF<\/a><\/strong> lists the servers authorized to send on behalf of the domain.<\/li>\n<li><strong><a href=\"https:\/\/mailrelay.com\/en\/glossary\/dkim-domainkeys-identified-mail\/\">DKIM<\/a><\/strong> adds a cryptographic signature to verify the message\u2019s origin and integrity.<\/li>\n<li><strong><a href=\"https:\/\/mailrelay.com\/en\/glossary\/dmarc\/\">DMARC<\/a><\/strong> ties authentication to the visible sender domain, sets a policy for failures and lets you receive reports.<\/li>\n<\/ul>\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/support.google.com\/mail\/answer\/81126?hl=en\">Gmail\u2019s sender guidelines<\/a> require SPF or DKIM from everyone sending to personal Gmail accounts. Senders of more than 5,000 messages a day must use SPF, DKIM and DMARC, along with other measures such as TLS and, for marketing or subscribed messages, one-click unsubscribe.<\/p>\n<p class=\"wp-block-paragraph\">Authenticating your domain doesn\u2019t guarantee the inbox on its own.
