If you keep them all in one bucket, every send ends up as a compromise. It&#8217;s too general for some and not useful enough for others. Subscriber groups help you bring order to that list and decide who gets each campaign.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What are subscriber groups?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Subscriber groups are sets of contacts you bring together under one name in your email marketing tool. They work like folders in your <a href=\"https:\/\/mailrelay.com\/en\/glossary\/email-database\/\" target=\"_blank\" rel=\"noopener\">email database<\/a>: &#8220;Customers&#8221;, &#8220;Weekly newsletter&#8221;, &#8220;October webinar&#8221; or &#8220;Manchester store&#8221;, for example.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The same <a href=\"https:\/\/mailrelay.com\/en\/glossary\/subscriber\/\" target=\"_blank\" rel=\"noopener\">subscriber<\/a> can be in several groups at once. And that doesn&#8217;t mean they count twice: they&#8217;re still a single contact with one record.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Other tools call them lists or audiences. The idea is the same. A segment, on the other hand, updates itself. Imagine a contact in Manchester moves to Leeds. They&#8217;ll stay in the &#8220;Manchester&#8221; group, but they&#8217;ll leave the &#8220;city = Manchester&#8221; segment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/mailrelay.com\/en\/blog\/2026\/08\/19\/email-tags\/\" target=\"_blank\" rel=\"noopener\">Tags<\/a> are better for noting behaviour. But there&#8217;s more:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Separating types of email:<\/strong> one group for the <a href=\"https:\/\/mailrelay.com\/en\/glossary\/newsletter\/\" target=\"_blank\" rel=\"noopener\">newsletter<\/a>, another for offers and another for product updates. That way everyone gets what they signed up for.<\/li>\n\n\n\n<li><strong>Respecting where consent came from:<\/strong> someone who entered a giveaway didn&#8217;t agree to the same things as someone who subscribed to your newsletter.<\/li>\n\n\n\n<li><strong>Running events and launches:<\/strong> webinar registrants or pre-sale sign-ups go into their own group for the duration of the campaign.<\/li>\n\n\n\n<li><strong>Triggering automations:<\/strong> joining a group can start a <a href=\"https:\/\/mailrelay.com\/en\/glossary\/welcome-email\/\" target=\"_blank\" rel=\"noopener\">welcome email<\/a> or a follow-up sequence.<\/li>\n\n\n\n<li><strong>Measuring better:<\/strong> if you compare the <a href=\"https:\/\/mailrelay.com\/en\/glossary\/open-rate-2\/\" target=\"_blank\" rel=\"noopener\">open rate<\/a> by group, you&#8217;ll see which audiences respond and which are cooling off.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Is it worth the effort? Mailchimp analysed around 11,000 segmented campaigns sent to almost 9 million recipients. They got 14.31% more opens and 100.95% more clicks than non-segmented sends. Unsubscribes were 9.37% lower. Wholesalers get price lists and catalogue news. Customers get recommendations and loyalty programmes. Everyone else gets content that encourages a first purchase.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A training centre usually organizes its groups by course or intake: &#8220;English B2 \u2013 October&#8221;, &#8220;Exam prep 2027&#8221; or &#8220;Alumni&#8221;. When one edition ends, the group is still there to offer the next level.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In B2B, it works well to separate contacts by business relationship: prospects, active customers and partners. Then there are several ways to add contacts to it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The most common is the <a href=\"https:\/\/mailrelay.com\/en\/glossary\/subscription-form\/\" target=\"_blank\" rel=\"noopener\">subscription form<\/a>. Each form, or each <a href=\"https:\/\/mailrelay.com\/en\/glossary\/landing-page\/\" target=\"_blank\" rel=\"noopener\">landing page<\/a>, saves new sign-ups to the group you choose. You can also let subscribers tick the groups they&#8217;re interested in, such as &#8220;News&#8221; or &#8220;Offers&#8221;. If you turn on <a href=\"https:\/\/mailrelay.com\/en\/glossary\/double-opt-in\/\" target=\"_blank\" rel=\"noopener\">double opt-in<\/a>, only people who confirm their address get in.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The second route is importing a <a href=\"https:\/\/mailrelay.com\/en\/glossary\/csv\/\" target=\"_blank\" rel=\"noopener\">CSV<\/a> file exported from your <a href=\"https:\/\/mailrelay.com\/en\/glossary\/crm-customer-relationship-management\/\" target=\"_blank\" rel=\"noopener\">CRM<\/a> or a spreadsheet. When you import, you choose the destination group and decide what to do with contacts that already exist.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Finally, you can move contacts between groups manually, in bulk or with an <a href=\"https:\/\/mailrelay.com\/en\/glossary\/api\/\" target=\"_blank\" rel=\"noopener\">API<\/a> that syncs your systems.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What about email groups in Gmail?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Lots of people search for how to create an email group in Gmail. You do it from Google Contacts: create a label and add the contacts. When you compose, type the label name in the &#8220;To&#8221; field.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It works for writing to a team or a handful of clients. But it isn&#8217;t built for campaigns. A personal Gmail account allows around 500 recipients a day. On top of that, you get no statistics, no unsubscribe link and no bounce handling. We explain this in our entry on <a href=\"https:\/\/mailrelay.com\/en\/glossary\/sending-limits\/\" target=\"_blank\" rel=\"noopener\">sending limits<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Best practices for subscriber groups<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Create just a few subscriber groups, each with a clear purpose. If you have forty groups with names like &#8220;New list 2&#8221; or &#8220;March import&#8221;, nobody will know who they&#8217;re sending to.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Use groups for what&#8217;s stable and segments for what changes. Want to email people who haven&#8217;t opened in 90 days? Don&#8217;t copy those contacts into a group. Create a segment that updates itself and use it in a <a href=\"https:\/\/mailrelay.com\/en\/glossary\/winback-campaign\/\" target=\"_blank\" rel=\"noopener\">winback campaign<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Avoid sending the same campaign to several overlapping groups without checking. Good tools don&#8217;t send twice to the same contact. Even so, review your selection \u2014especially if you&#8217;re combining old lists\u2014 before you launch the campaign.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Review your subscriber groups from time to time. Good <a href=\"https:\/\/mailrelay.com\/en\/glossary\/email-list-hygiene\/\" target=\"_blank\" rel=\"noopener\">email list hygiene<\/a> includes clearing out bounces, unsubscribes and groups nobody uses any more. Anyone who unsubscribes goes onto your <a href=\"https:\/\/mailrelay.com\/en\/glossary\/suppression-list\/\" target=\"_blank\" rel=\"noopener\">suppression list<\/a>. They shouldn&#8217;t come back in through an import.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And take care of consent. <a href=\"https:\/\/mailrelay.com\/en\/glossary\/gdpr\/\" target=\"_blank\" rel=\"noopener\">GDPR<\/a> requires a legal basis for each purpose. Don&#8217;t put someone who only asked for an invoice into your offers group.
