We’ll show you at Mailrelay.

NOTE: In this article I won’t show you ways to stop receiving spam yourself; that is beyond the scope of this article.

· First of all, what is spam?

Unsolicited email is the first thing that comes to mind. Junk email. Unwanted advertising, in short. A promotional email with information we didn’t ask for, sent to us by someone (probably someone we don’t know at all) to sell us something.

Email providers do everything they can to stop or reduce the spam their users receive.

You’ve most likely received one of these emails at some point, right?

And you may simply have ignored it, or your email client may have put it in the spam folder.

So, with this definition of spam as an email we didn’t ask for, a key question arises.

► Junk mail vs phishing

We shouldn’t confuse spam, or junk mail, which is ultimately just a nuisance, with phishing, which is something far more dangerous.

Although there can be different types of spam, it usually consists of unsolicited messages sent with the intention of selling something.

Phishing, on the other hand, aims to steal private information, such as passwords.

The problem is that, since the sender is often unknown, it’s impossible to know the ultimate intention of an unsolicited message.

That’s why email service providers (ESPs) take such care to keep unsolicited messages from reaching their users’ inboxes.

► Why does spam exist?

As we mentioned before, most of the time the purpose of spam is to promote a product and sell it through mass email.

It’s the equivalent of unsolicited phone calls or leaflet drops, that is, cold outreach techniques in which the customer doesn’t know the company contacting them.

Spam is as old as email itself, and of course, from the very beginning there has been a battle between ESPs and the companies that send spam.

While ESPs try to limit the reach of spam, the companies that send it try to get around the existing filters.

Unlike phishing, which tries to steal information, spam is only after sales.

Although, of course, the two are often confused.

You may also be interested in these articles:

What CC and BCC are

Original Subject Lines for Your Newsletter

· How do ESPs and email clients know which emails are spam and which aren’t?

For example, how does Gmail know whether the email you’ve been sent is email spam or not?

How can Gmail know what you’ve subscribed to? According to Tom Sather, only 17% of the emails that aren’t delivered or end up in SPAM, out of the total 20% we mentioned before, are due to reasons related to the newsletter’s content; the rest are rejected or marked as SPAM for reasons stemming from our domain’s reputation.

Where we can influence the result most quickly is in the content of our newsletter itself, which is why, before sending our newsletter, we need to check its SPAM score. There are certain points we need to take the utmost care of, which can be summarized as:

Essential domain settings, SPF and DKIM. As well as avoiding WHOIS privacy on the domain.

The origin of our list: it’s essential that it be a double opt-in or at least an opt-in list, meaning that subscribers have signed up to our list, our database, voluntarily. This ensures that subscribers accept the mailings they receive from us and are less likely to mark them as SPAM.

Offer a clear way to unsubscribe from the list: it’s best to use a direct unsubscribe link that doesn’t require much effort from the subscriber. Bear in mind that if it’s easier to mark you as SPAM than to unsubscribe, people will mark you as SPAM, and this will affect your future sends.

Keep the list up to date, free of spamtraps and bounced accounts. Mailrelay helps you keep your list clean, but remember to offer an easy way to unsubscribe for users who want to.

Use the right infrastructure. Sending a mailing from your office, using Outlook and your own IP, is not the same as using a suitable platform dedicated to it, such as Mailrelay.

Finally, we must take into account how our subscribers interact with our sends: whether they open them, display the images, click the links or reply to us directly. All this activity may be taken into account when assessing your reputation.

· Is it possible to trick anti-spam systems?

You’ve probably thought it’s possible to trick anti-spam filters because you’ve received the odd spam email yourself.

Without going into technical considerations, I’m afraid that trying to trick the various anti-spam services is not the easy way.

At least not for most businesses.

If you have a business and want to sell through email marketing, the solution is not to find ways of tricking anti-spam systems.

► Email marketing vs spam: permission-based email marketing

In short, this means sending mailings and mass emails to the people who have asked for them.

There are various ways of asking for them, but the most common one is subscribing to your contact list through a subscription form.

Or customers who have expressly agreed, after being informed, to receive communications.

These contacts are much less likely to mark our mailings as spam.

Although it can sometimes happen:

· If the unsubscribe link isn’t visible enough or the unsubscribe process is difficult.

· Or if they haven’t received anything from us in a long time and don’t remember us

· Or even if they’re unhappy with the service and mark us as spam in retaliation

Now let’s look at what you can do to keep your emails from being received as spam.

· If your domain is new, give it time and use

Another important tip that is easy to follow. If your domain is new because you’ve just registered it, it’s best to use it for sending emails before you send mass mailings.

During the first few weeks, or even months, use it to send the company’s internal emails. Then gradually start adding small mailing campaigns. Ideally, you should also have a form that keeps bringing in new contacts, with confirmation emails being sent, so that everything looks as natural as possible. This way you’ll avoid many deliverability problems and ending up in the spam folder.

The most important thing is not to rush into sending large volumes of mass mailings before the domain is ready. ESPs are very wary of new domains that send large numbers of emails.

· Add new contacts to your list regularly

New contacts usually show a very high level of interest, above all because they have only recently subscribed and joined your contact list. That means they’ll open your emails and click the links in them. They’ll have good engagement rates. That’s why gradually and regularly adding new contacts is good for your open rates.

The simplest way to do this is to add subscription forms to your website, although this is also one of the methods with the lowest results. Popups or dedicated landing pages that you drive traffic to usually get much better results.

It’s simple to do, but it requires constant work. Work that will not only lead to more sales opportunities, but also help you maintain good open rates.

► Clean your contact list if you suspect that’s where the spam problem lies

Here’s this article, where you’ll find a practical guide to cleaning your contact database. The problem may lie right there, without you noticing. “Spamtrap” emails are fake contacts that ESPs sometimes use to detect spammers. These emails can look normal and behave like normal contacts (opening your emails and clicking).

These email addresses may be placed on web pages, and if someone copies them and sends to them, everything will look normal, but it isn’t.

That’s why we recommend only using the emails of your contacts and customers, or emails you get through your subscription forms (double opt-in).

In theory, they should.

Right?

We send something people want to the people who asked for the next section we’ll look at some common errors the spam report may show.

► Quick tips to stay out of SPAM

1- Avoid using attachments. This is one of the simplest things you can do to improve the deliverability and open rate of your mailings. Don’t attach documents. Especially those that may look more suspicious, such as zip files. They’re the ones most likely to be rated as spam.

2- The design can’t be a single image, or one large image sliced into pieces. Never use one or more images on their own or with very little text.

3- Avoid putting text inside images. Text is better placed outside the images.

4- Avoid using URL shorteners. Using shorteners can send your emails to spam even if everything else is correct. ESPs can’t analyze the destination page because it’s shortened, so it raises suspicion.

Don’t paste URLs directly into the text either; create a text link, for example “click here” or similar.

5- As far as possible, avoid terms related to adult topics, pharmaceuticals, finance or money and, in general, any term or phrase that may match spammers’ campaigns.

6- Don’t use garish colors, large fonts or loud formats and styles.

7- The subject line can’t be in capital letters, contain exclamation marks, end in a question, have only one word or be too long.

· The most common and likely reasons an email ends up in spam

Common reasons why an email may end up in the spam or junk folder:

Email content:

The content of an email is one of the main factors that determine whether or not it is classified as spam.

Emails containing suspicious words or phrases, such as “fast cash”, “once-in-a-lifetime opportunity” or “make money”, are more likely to be flagged as spam.

Unknown sender:

If the recipient doesn’t recognize the sender of the email, they’re more likely to mark it as spam.

It’s important to make sure emails are sent from a recognized email address and that the name of the company or organization is clearly identified in the “From” field.

Poor domain reputation:

If the sender’s domain has a poor reputation on spam lists, emails sent from that address are more likely to be flagged as spam.

It’s important to follow email marketing best practices and avoid sending unsolicited or unauthorized emails to prevent a poor domain reputation.

Missing unsubscribe links:

If an email doesn’t include a link for recipients to unsubscribe from the mailing list, it’s more likely to be flagged as spam.

Poor email formatting:

If the email isn’t formatted correctly or contains errors in the HTML code, it’s more likely to be flagged as spam.

· Common SpamAssassin messages and their possible solutions

Some of these messages may appear because of either the email’s content or its subject line.

For example:

► HTML_SHORT_LINK_IMG_1

It indicates that the newsletter is just an image with a link to an external page.
