Require to Keep Your Emails Out of Spam"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\"><strong>Sending bulk emails<\/strong> \u2013 such as newsletters, promotions or notifications \u2013 is a common practice for many companies and organizations. <\/p>\n\n<p class=\"wp-block-paragraph\">However, <strong>getting those messages into the inbox instead of the spam folder<\/strong> (junk mail) <strong>depends on meeting certain requirements<\/strong> set by the major email providers. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>More than requirements, we could think of them as best practices that keep the world from filling up with spam.<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">Outlook (Microsoft&#8217;s email service, formerly known as Hotmail\/Live) recently announced <strong>new conditions for high-volume senders<\/strong>, joining similar measures that Gmail and Yahoo! put in place starting in 2024.<\/p>\n\n<p class=\"wp-block-paragraph\">Remember, too, that at <strong>Mailrelay, <\/strong>we help you set all of this up correctly to improve your results.<\/p>\n\n\n<h2 class=\"wp-block-heading\">Outlook: new authentication requirements for bulk senders<\/h2>\n\n<p class=\"wp-block-paragraph\"><strong>Outlook.com (which covers @outlook.com, @hotmail.com and @live.com addresses, among others)<\/strong> is tightening its policies to protect users from spam and identity spoofing. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Starting in May 2025, domains that send more than 5,000 emails a day<\/strong> will be required to meet certain authentication measures.<\/p>\n\n<p class=\"wp-block-paragraph\">This means that if your organization sends email in high volumes, Outlook will require you to set up security protocols for your emails, <strong>specifically SPF, DKIM and DMARC:<\/strong><\/p>\n\n<div class=\"wp-block-group has-very-light-gray-background-color has-background\" style=\"border-radius:8px;padding-top:24px;padding-right:28px;padding-bottom:24px;padding-left:28px\"><div class=\"wp-block-group__inner-container is-layout-flow wp-block-group-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Meet Outlook, Gmail and Yahoo! requirements without the hassle<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Mailrelay helps you set up SPF, DKIM and DMARC correctly to maximize your deliverability.<\/p>\n\n\n\n<div class=\"wp-block-buttons is-layout-flex wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button is-style-mailrelay-primary-button\"><a class=\"wp-block-button__link wp-element-button\" href=\"https:\/\/mailrelay.com\/en\/signup\/?utm_medium=cta&amp;utm_campaign=que-piden-outlook-gmail-y-yahoo-para-no-poner-tus-emails-en-spam\">Discover Mailrelay<\/a><\/div>\n<\/div>\n<\/div><\/div>\n\n<h3 class=\"wp-block-heading\">\u00b7 SPF (Sender Policy Framework): <\/h3>\n\n<p class=\"wp-block-paragraph\">It&#8217;s a record in your domain&#8217;s DNS <strong>that lists which servers or IP addresses are authorized to send emails on your behalf<\/strong>. <\/p>\n\n<p class=\"wp-block-paragraph\">Outlook will require the SPF to &#8220;match&#8221; and approve the message for your sender domain.<\/p>\n\n<p class=\"wp-block-paragraph\">In other words, <strong>the server you send the email from must be included in your SPF record<\/strong>; otherwise, the email won&#8217;t pass this check.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 DKIM (DomainKeys Identified Mail): <\/h3>\n\n<p class=\"wp-block-paragraph\"><strong>It&#8217;s a system that adds a digital signature to every email you send<\/strong>. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Only the legitimate domain holds the key<\/strong> to generate that signature. <\/p>\n\n<p class=\"wp-block-paragraph\">Outlook now requires DKIM to be set up and the signature to be valid on bulk messages.<\/p>\n\n<p class=\"wp-block-paragraph\">This ensures the integrity of the message and confirms it hasn&#8217;t been altered along the way.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 DMARC (Domain-based Message Authentication, Reporting and Conformance): <\/h3>\n\n<p class=\"wp-block-paragraph\">It&#8217;s a policy you publish on your domain to specify <strong>how emails that fail SPF\/DKIM should be handled.<\/strong> <\/p>\n\n<p class=\"wp-block-paragraph\">Outlook will require at least a <strong>DMARC policy set to \u201cp=none\u201d (monitoring only)<\/strong>, correctly configured and aligned with your domain.<\/p>\n\n<p class=\"wp-block-paragraph\">Alignment means that <strong>the domain in the \u201cFrom\u201d field (the one the recipient sees) must match the domain authenticated by SPF or DKIM<\/strong>. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>This prevents anyone from sending emails pretending to be your address.<\/strong><\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 What happens if you don&#8217;t meet these requirements? <\/h3>\n\n<p class=\"wp-block-paragraph\"><strong>Microsoft announced that it will start routing non-compliant messages to the junk (spam) folder.<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">In other words, if your domain sends many emails without proper SPF, DKIM, or DMARC, those emails will land in the Junk folder on Outlook.com instead of the inbox. <\/p>\n\n<p class=\"wp-block-paragraph\">This measure will begin just after May 5, 2025, giving senders time to adapt.<\/p>\n\n<p class=\"wp-block-paragraph\">Later, on a date yet to be announced, Outlook may start rejecting (blocking) those emails entirely if the problem persists.<\/p>\n\n<p class=\"wp-block-paragraph\">In short, to avoid Outlook sending your messages to spam, you must authenticate your email with these protocols as soon as possible.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Beyond technical authentication, Outlook strongly recommends following good hygiene practices for bulk sending:<\/h3>\n\n<ul class=\"wp-block-list\">\n<li><strong>Valid sender address:<\/strong> make sure the email shown as the sender (the \u201cFrom:\u201d or the \u201cReply-To:\u201d if different) is valid and working. <strong>It must belong to your real domain and be able to receive replies. <\/strong>In practice, this means not using nonexistent \u201cno-reply\u201d addresses or domains you don&#8217;t control. An authentic sender inspires more trust.<\/li>\n\n\n\n<li><strong>Working unsubscribe link: <\/strong>if you send newsletters or promotions, always include an <strong>easy, visible way to unsubscribe<\/strong> with a single click. This lets anyone who no longer wants to receive your emails say so quickly. Outlook stresses that the link must work properly and be clearly visible.<\/li>\n\n\n\n<li><strong>List hygiene and bounce management:<\/strong> review your recipient list regularly and remove invalid or inactive addresses. When <strong>you send to lots of addresses that bounce<\/strong> (don&#8217;t exist) or to people who don&#8217;t remember subscribing, spam complaints go up. Keeping your list clean reduces wasted messages and user complaints.<\/li>\n\n\n\n<li><strong>Transparent sending practices: <\/strong>avoid misleading headers or subject lines. Be clear in the subject line about the content of the email, and make sure the recipient has consented to receive it. Basically, <strong>don&#8217;t send bulk emails to people who didn&#8217;t ask for them<\/strong>, and don&#8217;t try to trick people with fake subject lines \u2013 that only gets your message marked as junk.<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\"><strong>Outlook states that it reserves the right to filter or block senders who don&#8217;t follow these measures<\/strong>, especially if they fail authentication or engage in serious bad practices. <\/p>\n\n<p class=\"wp-block-paragraph\">As a result, what should senders do? Review their domain configuration now. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Microsoft advises senders to \u201cprepare now\u201d<\/strong>: audit your DNS records to check that SPF, DKIM and DMARC are correctly set up and working. <\/p>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"830\" height=\"469\" src=\"https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/email-marketing.jpg\" alt=\"Gmail: strong authentication, one-click unsubscribe, and spam control\" class=\"wp-image-76683\" srcset=\"https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/email-marketing.jpg 830w, https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/email-marketing-300x170.jpg 300w, https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/email-marketing-768x434.jpg 768w, https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/email-marketing-110x62.jpg 110w, https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/email-marketing-60x34.jpg 60w\" sizes=\"auto, (max-width: 830px) 100vw, 830px\" \/><\/figure>\n\n<h2 class=\"wp-block-heading\">Gmail: strong authentication, one-click unsubscribe, and spam control<\/h2>\n\n<p class=\"wp-block-paragraph\">Gmail, Google&#8217;s email service,<strong> has been fighting spam with smart filters for years<\/strong>, but since 2024 it has gone a step further by setting clear rules for high-volume senders. <\/p>\n\n<p class=\"wp-block-paragraph\">Google announced that, to keep Gmail inboxes safe and free of junk mail, it would impose <strong>new requirements on \u201cbulk senders\u201d.<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Who counts as a bulk sender? Anyone who sends more than 5,000 messages a day to Gmail accounts.<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">If your domain fits that category, pay attention to what Gmail requires to keep your emails out of the spam folder:<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Authenticate outgoing emails: <\/h3>\n\n<p class=\"wp-block-paragraph\">Gmail now requires large senders to strongly authenticate their emails following standard best practices.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>In practice, this means having SPF and DKIM set up on your domain, as well as a DMARC record. <\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">In fact, Google made it clear that high-volume senders must enable both SPF and DKIM (not just one of them), and also have a DMARC record even if it&#8217;s set to &#8220;none&#8221; (monitoring).<\/p>\n\n<p class=\"wp-block-paragraph\">This prevents attackers from spoofing your address, as Gmail will verify the email actually comes from servers allowed and signed by your domain. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>If your messages aren&#8217;t authenticated, Gmail is very likely to flag them as suspicious or simply not deliver them.<\/strong><\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Make it easy to unsubscribe with one click: <\/h3>\n\n<p class=\"wp-block-paragraph\">Google considers it essential that users can easily stop receiving unwanted emails. <\/p>\n\n<p class=\"wp-block-paragraph\">That&#8217;s why it requires bulk senders to include a one-click unsubscribe option in every commercial email. <\/p>\n\n<p class=\"wp-block-paragraph\">Additionally, unsubscribe requests must be processed quickly, within a maximum of two days.<\/p>\n\n<p class=\"wp-block-paragraph\">In other words, if a Gmail user clicks \u201cunsubscribe\u201d in your email, you (or your <a href=\"https:\/\/mailrelay.com\/en\/blog\/2022\/11\/08\/how-to-send-a-newsletter-a-step-by-step-guide\/\" target=\"_blank\" rel=\"noreferrer noopener\">mailing<\/a> system) must remove them from the list within 48 hours and stop sending them messages. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Gmail bases these requirements on open standards that benefit all providers<\/strong>, so once they&#8217;re in place, it&#8217;s not just Gmail that benefits but any email recipient in general.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Only send emails users expect (and want) to receive: <\/h3>\n\n<p class=\"wp-block-paragraph\"><strong>This point basically comes down to not spamming. <\/strong><\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Gmail <\/strong>already filters a lot of unsolicited email automatically, but now it has gone a step further <strong>by setting a specific spam rate threshold<\/strong> that senders must stay under.<\/p>\n\n<p class=\"wp-block-paragraph\">In practice, this means that if too many users report your messages as spam, you&#8217;ll have problems. <\/p>\n\n<p class=\"wp-block-paragraph\">Google didn&#8217;t give the exact number in its announcement, but its sender guidelines state that <strong>you must keep your spam (complaint) rate below 0.3%.<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\"><strong>In other words, out of every 1,000 emails you send, no more than 3 should be marked as spam by users.<\/strong> <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>If you go over that limit, Gmail may take action: <\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li>For example, limit delivery<\/li>\n\n\n\n<li>Send more of your emails to the spam folder<\/li>\n\n\n\n<li>Or even block part of your traffic<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">In fact, Google said that starting in April 2024, it would begin rejecting a percentage of non-compliant emails under the new policies, increasing that percentage over time.<\/p>\n\n<p class=\"wp-block-paragraph\">For example, if 25% of your messages are non-compliant (due to missing authentication or high complaint rates), Gmail may start bouncing some of those \u201cproblem\u201d emails while letting compliant ones through.<\/p>\n\n<p class=\"wp-block-paragraph\">This gradual enforcement approach is designed to push senders to improve without blocking all emails at once.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>In short, Google has made mandatory practices that used to be simply good recommendations. <\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">For senders, this means taking several specific actions if they want to maintain good deliverability with Gmail:<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Configure SPF, DKIM, and DMARC on your domain <\/h3>\n\n<p class=\"wp-block-paragraph\">This is the first step. <\/p>\n\n<p class=\"wp-block-paragraph\">If you use an <strong>email marketing <\/strong>platform or provider, check with them that they&#8217;re signing your emails properly on your behalf.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Remember that DMARC only works if SPF\/DKIM pass and the signing or server domain matches your address (alignment). <\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">That&#8217;s why Gmail requires the domain shown in the &#8220;From:&#8221; field to align with SPF or DKIM.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Keep your servers in order: <\/h3>\n\n<p class=\"wp-block-paragraph\">Gmail also notes that sending domains or IPs must have valid reverse DNS (PTR) records and use secure TLS connections.<\/p>\n\n<p class=\"wp-block-paragraph\">We take care of this part at <strong>Mailrelay, <\/strong>so don&#8217;t worry.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Include unsubscribe links and respect them: <\/h3>\n\n<p class=\"wp-block-paragraph\">Check your mass email templates and make sure to include a visible &#8220;unsubscribe&#8221; link. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Something like \u201cIf you no longer wish to receive this newsletter, click here\u201d with a working link. <\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">And most importantly: act when someone clicks. <\/p>\n\n<p class=\"wp-block-paragraph\">Gmail will check that it&#8217;s actually easy to unsubscribe.<\/p>\n\n<p class=\"wp-block-paragraph\">If many users mark your emails as \u201cspam\u201d simply because they couldn&#8217;t find how to unsubscribe, that hurts you.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Maintain the quality of your email list: <\/h3>\n\n<p class=\"wp-block-paragraph\"><strong>Don&#8217;t send emails to people who didn&#8217;t ask for them. <\/strong><\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Avoid buying contact lists<\/strong> (they usually include people who don&#8217;t even know you and will report you as spam). <\/p>\n\n<p class=\"wp-block-paragraph\">Run re-confirmation campaigns if your list is old, to ensure people are still interested. <\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Google considers these practices \u201cbasic email hygiene\u201d<\/h3>\n\n<p class=\"wp-block-paragraph\">In fact, they noted that many legitimate senders were already following most of these requirements, but now they\u2019ll be mandatory for everyone sending in large volumes. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>The good news is that implementing these measures improves your email deliverability<\/strong>: Gmail notes that <strong>senders who authenticate properly and manage their lists carefully tend to have fewer bounces<\/strong> and more user trust, which means your messages will reach recipients more reliably.<\/p>\n\n<p class=\"wp-block-paragraph\">In other words, it\u2019s not just about \u201cpleasing Gmail\u201d \u2014 it genuinely strengthens your email marketing or communication efforts.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"630\" height=\"356\" src=\"https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/newsletter.jpg\" alt=\"Yahoo!: authentication and respect for the user, the same mission against spam\" class=\"wp-image-76675\" srcset=\"https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/newsletter.jpg 630w, https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/newsletter-300x170.jpg 300w, https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/newsletter-110x62.jpg 110w, https:\/\/mailrelay.com\/wp-content\/uploads\/2018\/02\/newsletter-60x34.jpg 60w\" sizes=\"auto, (max-width: 630px) 100vw, 630px\" \/><\/figure>\n\n<h2 class=\"wp-block-heading\">Yahoo!: authentication and respect for the user, the same mission against spam<\/h2>\n\n<p class=\"wp-block-paragraph\">Yahoo! Mail, which also includes <strong>AOL email and other email brands under Yahoo Inc.<\/strong>, joined this initiative against spam almost at the same time as Google. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>In the first quarter of 2024<\/strong>, they announced that all bulk senders would have to follow new rules to ensure \u201csafer email with less spam\u201d.<\/p>\n\n<p class=\"wp-block-paragraph\">Yahoo&#8217;s three key requirements are practically the same three we&#8217;ve already seen:<\/p>\n\n<div class=\"wp-block-group has-very-light-gray-background-color has-background\" style=\"border-radius:8px;padding-top:24px;padding-right:28px;padding-bottom:24px;padding-left:28px\"><div class=\"wp-block-group__inner-container is-layout-flow wp-block-group-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Protect your sender reputation<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With Mailrelay, you meet the authentication requirements of the major email providers.<\/p>\n\n\n\n<div class=\"wp-block-buttons is-layout-flex wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button is-style-mailrelay-primary-button\"><a class=\"wp-block-button__link wp-element-button\" href=\"https:\/\/mailrelay.com\/en\/signup\/?utm_medium=cta&amp;utm_campaign=que-piden-outlook-gmail-y-yahoo-para-no-poner-tus-emails-en-spam\">Get started with Mailrelay<\/a><\/div>\n<\/div>\n<\/div><\/div>\n\n<h3 class=\"wp-block-heading\">\u00b7 Authenticate email with secure standards: <\/h3>\n\n<p class=\"wp-block-paragraph\">Yahoo now requires high-volume senders to use SPF, DKIM, and DMARC on their emails.<\/p>\n\n<p class=\"wp-block-paragraph\">Their position is that verifying the sender\u2019s identity is crucial to prevent malicious third parties from impersonating you.<\/p>\n\n<p class=\"wp-block-paragraph\">Like Gmail, Yahoo wants you to <strong>have, \u201cat a minimum\u201d, a DMARC record published and set up <\/strong>correctly, even if it&#8217;s in monitoring mode (p=none).<\/p>\n\n<p class=\"wp-block-paragraph\">If your emails are not authenticated, they are much more likely to be blocked or marked as dangerous. <\/p>\n\n<p class=\"wp-block-paragraph\">In short: <strong>Yahoo asks for exactly the same thing on this technical front<\/strong> as the other services \u2013 <strong>proving that your message is legitimate<\/strong> through these protections on your domain.<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Provide an easy unsubscribe option: <\/h3>\n\n<p class=\"wp-block-paragraph\">Yahoo emphasizes that its users should be able to stop receiving emails with a single click if they choose.<\/p>\n\n<p class=\"wp-block-paragraph\">Although they have long promoted these practices voluntarily, they acknowledge adoption was low, so they decided to make it mandatory.<\/p>\n\n<p class=\"wp-block-paragraph\">Specifically, Yahoo requires support for the &#8220;one-click unsubscribe&#8221; standard and, very importantly, that senders honor the request within a maximum of two days.<\/p>\n\n<p class=\"wp-block-paragraph\">This means the same as with Gmail: include the &#8220;unsubscribe&#8221; link in your emails and process unsubscribes almost immediately. <\/p>\n\n<p class=\"wp-block-paragraph\">If a Yahoo\/AOL user clicks &#8220;I don&#8217;t want this email anymore,&#8221; you must ensure they are removed from future campaigns within 48 hours. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Yahoo has even stated that the unsubscribe feature must be completely reliable and hassle-free<\/strong> for the user (without asking for unnecessary extra steps).<\/p>\n\n<h3 class=\"wp-block-heading\">\u00b7 Only send to those who want your emails: <\/h3>\n\n<p class=\"wp-block-paragraph\">Yahoo&#8217;s (and everyone&#8217;s) core philosophy is that the best spam is the one that&#8217;s never sent.
