Out of office message: 30 examples to copy for vacations, Christmas, sick leave and more

Ready-to-copy templates for every situation and how to turn on the automatic reply in Gmail, Outlook and Teams

An out of office message is the automatic reply your email account sends to anyone who writes to you while you’re away: it says you’re away, until when, and who to contact if it’s urgent. You set it up once and it works on its own during your vacation, sick leave or a trip.

It may seem like a formality, but it’s the first contact clients, suppliers and colleagues have with you while you’re away. A good message prevents calls, repeated emails in your inbox and missed opportunities.

In this guide you’ll find 30 out of office message examples ready to copy, organized by situation. You’ll also see what they should include and how to turn them on step by step in Gmail, Outlook and Teams.

What is an out of office message?

It’s an automatic reply that your email provider sends on your behalf to everyone who writes to you during a specific period. It’s also called an away message, a vacation auto-reply or, for short, an OOO.

Don’t confuse it with an email marketing autoresponder. An out of office message replies to whoever writes to you. An autoresponder sends a sequence of emails to your subscribers when certain conditions are met, such as signing up to your list.

The two complement each other. If your company closes for a few days, the away message takes care of anyone who writes, and a newsletter lets all your customers know before you close.

What should an out of office message include?

A good message answers the three questions of whoever writes to you: did you get it? When will you reply? And what do I do if it can’t wait?

The 6 parts of an out of office message: greeting, return date, what will happen to the message, contact for urgent matters, reason and signature
  1. A short greeting in your company’s tone.
  2. The return date. A specific day is better than “in a few days”.
  3. What will happen to the message: whether you’ll read it when you’re back or whether it’s better to write to you again.
  4. An alternative contact for urgent matters: name, job title and work email or phone number.
  5. The reason, only if it helps. “I’m on vacation” is enough; there’s no need to share personal details.
  6. Your usual email signature, so it’s clear the message is yours.

This is the basic template you can adapt to any situation:

Subject: Out of office until [date]

Hi,

Thank you for your message. I’m out of the office until [date] and will read it when I get back.

If it’s urgent, you can write to [name] at [email].

Best regards,

How to turn on an out of office message in Gmail, Outlook and Teams

Each tool calls it something different, but the steps are similar: turn on the reply, choose the dates and write the text.

How to turn on the automatic reply in Gmail, Outlook and Teams in three steps

In Gmail

  1. Open Gmail on your computer and click the gear icon in the top right corner.
  2. Click See all settings.
  3. In the General tab, scroll down to the Vacation responder section.
  4. Select Vacation responder on and choose the first and last day.
  5. Write the subject and the message. If you want, check the option to send it only to your contacts.
  6. Click Save Changes.

Gmail sends the reply only the first time someone writes to you. If that person writes to you again after four days, or if you change the reply text, they get it again. It doesn’t reply to emails that land in spam or to emails from mailing lists.

In Outlook (new Outlook and Outlook on the web)

  1. Go to View and click View settings.
  2. Go to Accounts and then Automatic replies.
  3. Turn on automatic replies.
  4. Select Send replies only during a time period and choose the dates.
  5. Write the message. If you want, select Send replies only to contacts.
  6. Click Save.

With work accounts, you can write a different message for people outside your organization.

In classic Outlook

  1. Go to File and click Automatic Replies.
  2. Select Send automatic replies and, if you want, the date range.
  3. Write the message in the Inside My Organization tab and, if needed, another one in Outside My Organization.
  4. Click OK.

This option is available for work or school accounts. For Gmail, Yahoo, POP or IMAP accounts added to classic Outlook, the reply is set up with rules.

In Microsoft Teams

  1. Click your profile picture and choose Set status message.
  2. Click Schedule out of office.
  3. Switch on Turn on automatic replies and write the message.
  4. If you want, check the option to send replies outside your organization and choose the time period.
  5. Save the changes.

Teams and Outlook share this setting, so the message appears in both.

Common mistakes in out of office messages

A poorly configured automatic message can cause more problems than not having one at all. These are the most common mistakes:

7 common out of office message mistakes
  • Forgetting to turn it off. Always set an end date; that way you won’t still be “on vacation” in March.
  • Not giving a return date. “I’ll be back soon” forces the other person to write to you again.
  • Giving out your personal phone number or email. If it’s urgent, have your colleagues respond using their work contact details.
  • Sharing too much. Neither your vacation destination nor the reason for sick leave. The reply also reaches strangers.
  • Not telling your colleague. Before including their name, make sure they’ll be available.
  • Writing a long text. People will read it on their phone: three or four lines are enough.
  • Using the same text for everyone. If your email allows it, separate the internal message from the external one.

If you take care with the subject line and wording of your everyday emails, apply the same standard to your automatic reply.

How to let all your customers know you’re closing for vacation

An out of office message only replies to whoever writes to you. If your business closes in August or at Christmas, the best option is to give advance notice to all your customers with an email.

With an email marketing tool like Mailrelay, you can do it in a few minutes:

  • Send a newsletter with your closing dates, order delivery times and who will handle urgent matters. Start from an email template and adapt it to your brand.
  • Segment your list so each group gets what affects them: customers with orders in progress, suppliers or distributors.
  • Schedule it to go out a few days before you close, even if you’re already on vacation.
  • Create an autoresponder for people who subscribe while you’re closed, with your return date and what they can expect.
  • Leave your automations running, like the welcome email for new subscribers, so your list keeps growing while you take a break.

With Mailrelay’s free account, you can send up to 80,000 emails a month to 20,000 contacts, with support by chat, ticket and phone.

Frequently asked questions about out of office messages

These are the most common questions when preparing an automatic reply.

What should I put in an out of office message?

Until when you’re away, whether you’ll read the message when you’re back, and who to contact if it’s urgent. Three or four lines are enough.

What does OOO mean?

It stands for out of office, and it’s often used for the automatic reply itself. A basic message would be: “I am out of the office until [date]. For urgent matters, please contact [email].”

Is the automatic reply sent every time someone writes to me?

It depends on your email provider. Gmail sends it the first time someone writes to you and again if they write after four days. Outlook usually sends it once per sender while the reply is turned on.

Do I have to say I’m on sick leave?

No. It’s enough to say you’re out of the office and who they can contact. The reason for sick leave is personal information.

When should I turn on my out of office message?

Schedule it before you leave with a start and end date. That way it turns on first thing on your first day away and turns off on its own when you’re back.

What’s the difference between an out of office message and an autoresponder?

An out of office message replies to whoever writes to you while you’re away. An autoresponder sends scheduled emails to your subscribers, such as a welcome email or a sequence of automated emails, and is set up in your email marketing tool.
